Pepper Marketing Services Ltd. (“Pepper”, “we”, “us” or “our”) is a digital marketing agency based in Kamloops, British Columbia, Canada. We respect your privacy and are committed to handling your personal information responsibly and in line with Canadian privacy law.

2. What this policy covers

This policy explains how we collect, use, share and protect personal information when you:

  • visit our website at meetpepper.ca;
  • respond to or submit a lead form through our ads on Facebook or Instagram; or
  • book a consultation or otherwise contact us.

It applies to our advertising on Meta platforms (Facebook and Instagram) as well as to our website. It does not cover the privacy practices of other companies or websites that we link to, or the practices of Meta itself, which are governed by Meta’s own Privacy Policy.

3. The personal information we collect, and how we collect it

We only collect the information we need to respond to you and provide our services.

Information you give us directly. When you fill out a lead form on our Facebook or Instagram ads, we collect your name, email address, the type of business you run, what you would like help with, your approximate monthly marketing budget range, and your timeline. When you contact us through our website or book a consultation, we collect the details you provide, such as your name, email address and any information you choose to share with us.

Information collected automatically on our website. When you visit meetpepper.ca, we and our service providers collect certain information automatically through cookies and similar technologies, including the Meta Pixel, the Meta Conversion API and Google Analytics. This may include the pages you view, links you click, your approximate location, and information about your device and browser, such as your IP address, browser type and operating system. We use this to measure and improve our advertising and our website. See section 7 for more on cookies and tracking.

Information from booking. When you book a discovery call, our scheduling provider collects the information you enter to make the booking, such as your name, email address and appointment details.

We do not knowingly collect more information than we need, and we do not collect sensitive information through these channels.

4. Why we collect it and how we use it

We use the personal information we collect to:

  • respond to your enquiries and provide the information you ask for;
  • schedule and hold discovery calls and consultations;
  • provide our marketing services to clients;
  • send you marketing communications where you have consented or where the law otherwise allows it, with an option to unsubscribe in every message;
  • measure, understand and improve the performance of our advertising, including through the Meta Pixel and Meta Conversion API;
  • improve our website and the services we offer; and
  • meet our legal and regulatory obligations.

We will not use your personal information for a new purpose that is not described here without letting you know and, where required, obtaining your consent.

5. Consent

We collect, use and share your personal information with your consent, which may be express or implied depending on the situation and the sensitivity of the information.

For example, when you submit a lead form or book a call, you are giving us your information so that we can respond to you and follow up about our services. When you ask us about our services, we may rely on your implied consent to reply to you about that enquiry.

You can withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. To withdraw consent, contact us at [email protected]. You can unsubscribe from our marketing emails at any time using the unsubscribe link in those emails. Withdrawing consent may mean we are no longer able to provide certain services to you.

6. How we share your information

We do not sell your personal information.

We share personal information with trusted third-party service providers who help us run our business and provide our services to you, and who are only permitted to use it to provide their services to us. These include providers of:

  • advertising and measurement, including Meta Platforms (Facebook and Instagram), which we use to run and measure our lead ads;
  • appointment scheduling, to book and manage consultations;
  • email delivery and email marketing, to send our emails and, where you have consented, our marketing communications;
  • website analytics, to understand and improve our website;
  • document storage and collaboration, and project, client and onboarding management, to deliver our services; and
  • automation, to move information securely between these systems.

We may also disclose personal information if we are required to do so by law, or to protect our rights, our clients or others.

7. Cookies and tracking technologies

Our website uses cookies and similar technologies to make the site work, to understand how it is used, and to measure and improve our advertising.

Meta Pixel and Meta Conversion API. We use Meta Business Tools, including the Meta Pixel and the Meta Conversion API, on meetpepper.ca. These tools collect information about your activity on our site, such as pages viewed and actions taken, and share it with Meta. We use this to measure the results of our Facebook and Instagram advertising, to understand how people interact with our site, and to show relevant ads. You can learn more about how Meta uses this information, and control the ads you see, in your Meta account settings and in Facebook’s and Instagram’s privacy settings. Google Analytics. We use Google Analytics to understand how visitors use our website so that we can improve it. Google Analytics uses cookies to collect information such as the pages you visit and how you arrived at our site. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

Managing cookies. Most web browsers let you refuse or delete cookies through your browser settings. If you block some cookies, parts of our website may not work as well.

8. Where your information is stored, and cross-border transfer

Some of our service providers store and process personal information on servers located outside Canada, including in the United States and the European Union. This means your personal information may be stored or processed outside Canada and may be accessible to courts, law enforcement and government authorities in those countries under their laws. We take steps to ensure our service providers protect your information appropriately.

9. How long we keep it

We keep personal information only for as long as we need it for the purposes described in this policy, or for as long as the law requires. How long that is depends on why we collected the information. For example, we keep enquiry and lead information while we are in contact with you and for a reasonable period afterwards in case you get back in touch, and we keep client information for as long as you are a client and for a period afterwards to meet our business and legal obligations. When we no longer need your personal information, we securely delete it or remove the details that identify you.

Please note that lead information you submit through a Facebook or Instagram lead form is also held by Meta in our ads account for a limited period (currently 90 days) before it expires, in line with Meta’s own policies.

10. How we protect it

We take reasonable steps to protect your personal information against loss, theft and unauthorised access, use or disclosure. These include limiting access to your information to those who need it, using reputable service providers, and relying on the security measures those providers have in place. No method of transmission or storage is completely secure, but we work to protect your information using safeguards appropriate to its sensitivity.

11. Your rights

Subject to some exceptions in the law, you have the right to:

  • ask whether we hold personal information about you, and to access that information;
  • ask us to correct information that is inaccurate or incomplete;
  • withdraw your consent to our use of your information (see section 5); and
  • unsubscribe from our marketing communications at any time.

To make a request, contact us at [email protected]. We may need to confirm your identity before we act on your request. We will respond within the time required by law.

12. Children’s privacy

Our services are intended for businesses and for people aged 18 and over. We do not direct our website or our ads at children, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

13. Links to other websites

Our website and our ads may contain links to other websites and services that we do not operate, such as social media platforms. We are not responsible for the privacy practices of those websites. We encourage you to read the privacy policy of any website you visit.

14. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. When we do, we will update the “last updated” date at the top of this page. We encourage you to review this policy from time to time. If we make a significant change, we will take additional steps to let you know where appropriate.

15. How to make a complaint

If you have a concern about how we have handled your personal information, please contact us first at [email protected] so that we can try to resolve it.

You also have the right to make a complaint to a privacy regulator:

  • the Office of the Privacy Commissioner of Canada (priv.gc.ca); and
  • the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca).
